Policies

These policies are designed to keep care clear, respectful, and consistent for all patients.

Cancellation & No-Show Policy

We value your time and make every effort to be available when you need care. To keep the schedule fair for all patients:

  • Cancellations: Please cancel or reschedule at least 24 hours in advance.

  • Late Cancellations / No-Shows: Appointments cancelled with less than 24 hours’ notice or missed appointments without notice, a fee will apply. The charge is the full session fee for self-pay patients or $75 for those using insurance.

  • Insurance Patients: Please note that insurance does not cover missed appointment fees; these are your responsibility.

  • Repeated no-shows may result in termination of care.

Communication Policy

To protect your privacy and maintain clear records:

  • Patient Portal Use: All non-urgent communication must go through the secure patient portal (IntakeQ). This is where you can send messages, access forms, and view documents.

  • Response Time: Messages are typically reviewed and answered within 2–3 business days. If your concern is urgent, please do not wait for a portal reply—call 911 or 988 if you are in crisis.

  • Email/Text: These methods are not secure and should only be used for scheduling purposes if needed.

Medication Refill Policy (Non-Controlled Medications Only)

  • Refill Requests: Please request refills through the patient portal or your pharmacy at least 5 business days before you run out.

  • Appointment Requirement: Refills are provided only if you are actively engaged in care, attending follow-up appointments as recommended.

  • Controlled Substances: This practice does not prescribe or taper controlled substances (stimulants, benzodiazepines, or Z-drugs).

Telehealth Policy

To ensure a smooth and private telehealth experience:

  • Technology Requirements: You will need a stable internet connection, a working camera and microphone, and a private, well-lit space for your sessions. A laptop or tablet is preferred over a phone when possible.

  • Privacy Expectations: Please join from a location where you can speak freely and are not distracted. Sessions should not be conducted while driving or in public spaces.

  • Platform: Sessions are conducted through a secure, HIPAA-compliant platform. Recording of sessions is not permitted by either party without explicit consent.

  • Backup Plan: If a session is disrupted due to technical issues, you will be contacted by phone to troubleshoot or reschedule as needed.

Forms

All forms for Gage Holistic Psychiatry are handled securely through the IntakeQ Patient Portal. When a form is needed, it will be shared with you directly in your portal account.
